Registration Fees

Registration fees are in Euros. French VAT of 20% applies on all registration fees.

Registrants from commercial organizations outside the European Union may request a refund of the VAT on the registration fees and on some other expenses through the Easytax website . The fees charged by Easytax will be 7 % of the amount of VAT refunded or 100 € if the VAT is less than 1420 €, excluding bank charges that are for the recipient’s account. Note that VAT claims must be in the same name as the organization mentioned on the invoices.

* Member rate applies to full-time employees of iia members only. A iia member is defined as an organization that has paid iia membership fees in both 2018 and 2019.
** Full-time students (master trainees, doctorate trainees or clinical resident trainees) must upload a letter from their supervisor validating student status when registering online. Undergraduate students can upload a copy of their student ID in PDF. This rate does not apply to post-doctoral fellows.

Registration Benefits

Registration fees for all Corporate, Academic and Student delegates include access to all Conference Sessions, the Exhibition Hall, Poster Sessions, the Welcome Reception, Gala, coffee breaks, lunches and online delegate materials.

Registration fees for Day delegates include access to all Conference Sessions, the Exhibition Hall, Poster Sessions, coffee breaks, lunch and online delegate materials.

Separate registration fees apply for the Pre-conference Day (Monday, April 1).

Training course at University of Reims

Registration fee for the University of Reims training course does not include any transport, accommodation and any other arrangements. For full details click here.

Cancellation and Refund Policy

Substitution with a colleague is always possible. A fee of €50 is applicable. In case of cancellation, the following policy applies:

  • Cancellation before February 1, 2019 — €350 cancellation fee
  • Cancellation between February 1 and March 1, 2019 — €700 cancellation fee
  • Cancellation after March 1, 2019 — no refund
All approved refunds will be issued after the IMRP 19 on or before October 31, 2019. Please provide your written refund request by email to carole@iseventsolutions.com.

Force Majeure (Uncontrollable Events)

In case it would become inadvisable, commercially impracticable, illegal or impossible to hold the Meeting as planned for reasons that are beyond our reasonable control, including but not limited to strikes or lockouts, riots, embargoes, boycott, power failures or prolonged shortage of energy supplies, fire, flood, hurricane, earthquake, acts of state or governmental action, war, armed conflict or warlike conditions including actual or apprehended terrorism, disaster, curtailment of transportation facilities (including because of weather conditions) preventing or delaying attendance by a significant number of registered participants, disease or medical epidemics or outbreaks, or any other reasons that constitute force majeure, the following conditions will apply.

We may elect one of the following remedies: (a) to cancel the Conference; or (b) to suspend the Conference for the duration of the impending circumstances; or (c) to hold the Conference as planned. In either case, any registration fees that will have been paid to us will not be refunded and we will not be responsible for any loss, damage, injury, claims, costs or expenses of any kind whatsoever by reason of any cancellation, rescheduling, postponement or alteration of the Conference. If we elect to cancel the Conference and we thereafter determine that we can cover our costs and expenses, we would to the extent possible affect the remaining funds (after accounting for a reserve fund to be determined by us) to reimburse pro rata those who would have paid registration fees. All such payments would be made after the IMRP 19 on or before October 31, 2019.

Liability

The International Irradiation Association, its Organizing Committees and Professional Congress Organizer shall not be held liable for personal accidents or losses or damage to private property of registered participants of the 2019 International Meeting on Radiation Processing.

Visa Invitation Letters

Please note that invitation letters for visa purposes can only be issued to delegates who have successfully paid their registration fees. You will be able to print your invitation letter from your profile dashboard once you successfully registered and paid your registration fees in full.

Delegates requesting a visa invitation letter to be sent to them by priority mail will be charged € 100 per delivery address.

These letters do not and cannot commit the Organizing Committee to any financial obligation. Should the visa not be granted to the applicant, the registration fee will be reimbursed in full, less € 50 administration fees. The deadline to submit a written refund request due to visa refusal is March 20, 2019. Official paperwork must be faxed to +1-514-227-5083 or sent by email to carole@iseventsolutions.com.
